If your company uses Microsoft Teams and has Light connected, you can submit expenses directly from Teams. It's as easy as uploading a receipt image.
How It Works
Light's Teams bot reads your receipt and extracts all the details automatically. You review them and submit—all without leaving Teams.
Submitting a Receipt
- Open Microsoft Teams and find the Light bot in your apps (ask your admin if you don't see it)
- Click to open a direct message with Light
- Attach your receipt file(s) or paste an image directly into the chat — you can send multiple receipts in one message. Supported file types are PDF, JPEG, PNG, HEIC, HEIF, and TIFF
- Light replies with "Processing your file(s)..." while it works
- If you have a Light card, Light first tries to match the receipt to a card transaction. If there's no match, it asks: "We couldn't match the receipt to a card transaction. Do you want to create a reimbursement from this item?" with Reimbursement and Discard buttons
- Choose Reimbursement, and Light's AI reads the receipt and sends back a card with the extracted details:
- Description
- Original amount
- Reimbursement amount
- Click View expenses on the card to review or edit the details in Light
- Once you're done uploading all of your receipts, tell the bot to submit your expense report — or submit it from the Expenses page
After You Submit
Uploaded receipts appear as draft expenses on your Expenses page right away. Once you submit your expense report, it goes for approval. If it's rejected, the bot notifies you with the reason, and it messages you again when your reimbursement is paid.
Why Use This Method
- Seamless: No app switching—your communication and expenses are in the same place
- Quick: Submit while you're thinking about it, or at the end of the week
- Accessible: Works great on Teams mobile app for receipts captured on the go
Troubleshooting
"I don't see the Light bot in Teams" Your admin needs to install the Light app for Microsoft Teams and grant admin consent to connect your Microsoft tenant to Light. Your Teams account is matched to your Light user by email address, so make sure you use the same email in both.
"The receipt details are wrong" Click View expenses on the card the bot sends you and edit the details on your Expenses page before submitting your expense report.
"I accidentally submitted an expense" Check your Light Expenses page. If it's not approved yet, you can click it and delete it or make changes.
