What is Expense Management?
Expense management is the complete workflow from when an employee spends money on business expenses to when they're reimbursed or the company settles the card bill:
- Expense Capture: Employee submits receipt via multiple channels (Slack, Teams, email, app, mobile)
- Data Extraction: AI automatically extracts expense details from receipts
- Categorization: AI categorizes the expense and assigns GL accounts
- Approval: Manager or team lead approves the expense
- Reimbursement: Finance processes reimbursement or settles card

Key Concepts
Expenses represent individual business transactions (flight, hotel, meal, supplies). Multiple expenses can be grouped into a Reimbursement Request for approval as a unit.
Receipts are supporting documentation (receipt image, email confirmation, PDF). Light's AI extracts receipt data automatically.
Spending Categories organize expenses (Travel, Meals, Office Supplies, etc.). Categories map to GL accounts for accounting.
Policies define rules (meal limits, pre-approval requirements, ineligible categories). Light enforces policies and flags violations.
Corporate Cards can be physical (issued to employee) or virtual (issued instantly for online and contactless payments). Card transactions are managed under Cards, separately from out-of-pocket expenses — employees attach receipts to card transactions instead of submitting them for reimbursement.

Expense States
Expenses progress through states:
- CREATED: Receipt uploaded, AI extraction in progress

- CANCELLED: Withdrawn by employee
Once submitted, expenses are grouped into a reimbursement request that progresses through its own statuses: IN_PROGRESS, SUCCEEDED, FAILED, or REJECTED.

Corporate Card Settlement
Card transactions don't enter the reimbursement pipeline — payment settles from the company's card account, so the employee doesn't need reimbursement. Employees attach receipts to their card transactions, and Finance categorizes and posts the transactions to the ledger.
